CLA ePortfolio — FAQs

The Clinical Learning Account (CLA) is a record of learning for PGY1 and PGY2 prevocational trainees across Australia that are part of the AMC Framework.

Access the CLA at cla.epads.mkmapps.com or via the app store on your mobile.
PGY2s in specific training programs (BPT, Psychiatry etc.) are exempt from the Framework.

PGY3s and above & IMGs have the option to participate in the AMC Framework but are not mandated to do so. Reminders come from NDE at the beginning and end of each term only — you are responsible for completing requirements on time.


PGY1 Requirements

Term Assessment Timeline

  1. Beginning of Term Discussion (BOTD) — Complete in the first week of term
  2. Mid Term Assessment (MTA) — Complete by end of week 5
  3. End of Term Assessment (ETA) — Complete by end of term. The CLA locks 2 weeks after the end of term — supervisors cannot access your ETA after this point.
  4. 10 EPAs per year — At least two per term. Minimum of 5 EPA1s, 2 EPA2s, 2 EPA3s, and 2 EPA4s. At least one EPA per term must be completed by a consultant or Term Supervisor.
You are responsible for making a time to meet with your Term or Clinical Supervisor to complete the above assessments. Be proactive — ETAs can only be initiated by a consultant (not via mobile). Help your supervisor log into the CLA and ask if they can see your name listed in their account.

PGY2 Requirements

Term Assessment Timeline

  1. Beginning of Term Discussion (BOTD) — Complete in the first week of each term

  3. End of Term Assessment (ETA) — Complete by end of term. The CLA locks 2 weeks after the end of term — supervisors cannot access your ETA after this point.
  4. 10 EPAs per year — At least two per term. At least one EPA1 per term (except Relieving Term). At least one EPA per term must be completed by a consultant or Term Supervisor.
Relieving Term: You are not required to complete any assessments or EPAs. However, we strongly recommend completing EPAs during this term if the opportunity arises — your annual requirement of 10 EPAs does not change, so falling behind means more to complete in other terms.

Frequently Asked Questions

EPAs

When a registrar completes an EPA, does this need to be done in their account?
No, the EPA is best done under your login. The EPA doesn’t need a registrar to sign into the CLA — they can have guest access.
Can a HMO PGY2 complete an EPA?
No, it should be a PGY3+ doctor.
The bottom box says “Previous term supervisors/clinical supervisors” — is this where I put the name of the supervisor?
Yes, put the name and details of who completed the EPA there. They will also receive an email stating they completed the EPA with you.

Mid Term Assessments (MTAs)

Can a registrar complete the MTA?
Yes, a registrar can complete the MTA. You will need to enter their name at the top of the form and use the “email for later” option to send it to a consultant to sign it off.
Do all of the outcomes need to be ticked off in each category?
No, you don’t need to tick them. Just the rating for each section out of 5.
Can the nominated term supervisor or a clinical supervisor (consultant) sign MTA off, or can it be any consultant?
Any consultant in the unit can sign off an MTA.
The registrar accidentally completed the form instead of emailing for later to the supervisor — can this be fixed?
Once the form has been submitted it cannot be edited. Please contact NDE who may be able to help.

End of Term Assessment (ETA)

My consultant tried to complete my ETA but can’t find me on the CLA
If your consultant can’t see you on their CLA, email NDE with your name and Term to add you to their CLA.
My consultant doesn’t have a CLA account or cannot login — what should I advise them?
Email NDE the name of the consultant and what unit they work in, and we can email them the link to set up their account.

Relieving Term

Do we complete assessments (BOTD, MTA and ETA) during Relieving Term?
No, you are not required to complete any assessments while on Relieving Terms.
Do we need to complete EPAs while on the Relieving Term?
It is not a requirement, but we strongly advise you complete EPAs during relief term. Your annual requirement does not change — you still need to complete 10 per year, so falling behind means more to complete in other terms.
